ABOUT THIS OPPORTUNITY
We’re seeking a Part-Time Administrative Assistant to join our dynamic Office of the President. This is your chance to become the maestro of meetings and events, ensuring seamless operations and amplifying our impact. You’ll be a go-to person for our President, our executive team, and organization at large, helping to orchestrate complex meetings, assisting in the management of the President’s calendar, and supporting the production of impactful events. Picture yourself:
- Masterminding intricate meetings: Seamlessly assist in the management of RSVPs, set up logistics, and ensure smooth participation for internal and external gatherings with high-profile attendees.
- Becoming the CEO’s calendar guardian: Help the Chief of Staff filter requests, prioritize tasks, and troubleshoot conflicts to keep the President’s schedule running smoothly.
- Being a travel guru: Arrange meticulous travel plans, craft detailed itineraries, prepare essential documents for conferences and industry events as well as expenses.
- Transforming events into unforgettable experiences: Support the planning and execution of diverse events, from virtual conferences to all-staff meetings and celebrations, board meetings, and community gatherings.
- Building bridges with the community: Manage an ever-growing contact database, ensuring invitations reach the right hands, both online and in person.
- Going above and beyond: Tackle diverse assignments with a can-do attitude, always ready to contribute to the team’s success.
Are you a detail-oriented rockstar with a passion for connecting and making a difference in the Latino community? We’re looking for someone who:
- Is highly organized and efficient, with a knack for juggling multiple tasks.
- Skilled written/verbal communication skills and professional telephone and video-presence.
- Proactively solves problems, anticipates needs and thinks on their feet.
- Ability to work well under pressure, excellent interpersonal skills, and a cheerful disposition.
- Is a team player with a positive attitude who thrives in a collaborative environment but who can also work independently.
- Wield essential digital tools like Constant Contact, CRM systems, Microsoft Office Suite (Outlook, OneDrive, SharePoint, PowerPoint, Excel, Teams, and Word), Zoom meetings and webinars, and remote connectivity platforms.
- Holds a Bachelor’s degree in Business, Communications, Journalism, or a similar field, combined with 2-4 years of relevant experience. But even if your degree isn’t on this list, don’t shy away! If you have the drive, skills, and passion to make a difference we want to hear from you!
- Speaks Spanish fluently — or at least has a passion for and feels a connection to the Latino community!
PHYSICAL REQUIREMENTS
- Works in standard office building environments.
- Must be able to pack, ship, and assemble materials for offsite and out of state meetings.
